TutorTally

Lesson tracker and invoices for private tutors

How many lessons are left, and who still owes you.

Mark each lesson given or cancelled with one tap. TutorTally counts down prepaid packages, keeps one balance per family, and makes a PDF invoice with your own PayPal or Venmo link carrying the amount due, ready to send from your phone.

Today: 3 lessons booked, 2h 15m of teaching, $515 owed, and the week along the top
A student’s page: 6 lessons left in a package of 10 and the term drawn as tally marks

What it does

Today, one tap per lesson.

Add a student with a weekly slot and TutorTally writes out the dated lessons. Today lists the day’s lessons in order with a Given button on each; tap Other to mark a cancellation with notice, a late cancellation, a no-show or a lesson you cancelled yourself. Add your holidays and breaks and those dates are skipped. A lesson can be moved without cancelling it, and each one keeps a note of what you covered and the homework you set.

The tally.

Each student’s page shows the number that matters in large type: lessons left in the package, or lessons given this term or this month. Below it the term is drawn as tally marks, one stroke per lesson, coloured by what happened. Make-ups owed are counted until one is given, and the last lesson’s notes sit underneath.

Your cancellation policy.

Choose the notice you need, from 12 to 72 hours, whether late cancellations and no-shows are charged, and when a make-up is owed. Marking a cancellation fills in both from your rules, and you can change it on any lesson. A lesson you cancel is never charged, and a make-up for a lesson that was already paid for is not charged again.

Packages, term fees or pay as you go.

Charge each lesson at the student’s rate, record a prepaid package and TutorTally counts down the lessons as they are used, or take one fee for a term. A lesson draws from a package or a term fee first and is charged at the rate only when nothing prepaid covers it.

One balance per family.

A parent paying for two children has one account, with every charge and payment in date order. The Money screen shows what each family owes and what came in this month. Statements and receipts come as PDFs.

Invoices with your pay link.

Make an invoice for one family, or tap Invoice everyone to create a separate draft for each family. Each lists the lessons by date and keeps those lines as they were when it was made. Send the PDF with a ready message by WhatsApp, text or email from your own phone. With your PayPal.me name, or your Venmo name for US dollars, the link carries the amount due; Cash App, Monzo, Revolut, Zelle, a Stripe or Square payment link and bank details can go on the invoice too. Overdue invoices are flagged, and a polite reminder message is ready.

Why it works this way

Your records stay on your phone.

There is no account and no sign-in, and student and family details stay on your phone. Backup makes one file you can restore on another Android phone; restoring adds what is missing and removes nothing. Crash reports and usage statistics are sent, and neither carries your students’ details.

Parents pay you directly.

TutorTally never handles the money and takes no fee. The payment link or bank details take the parent to your own payment service, and you mark the invoice paid when the money arrives.

Nothing you recorded is locked away.

Every lesson, payment and balance you have entered stays open on every plan. The paid version adds tools; it never hides a record you already made.

Questions

Who is TutorTally for?

Self-employed tutors, music teachers, language teachers and coaches who teach their own students and keep the book themselves. It is a tool for the tutor, not an app for children.

How do parents pay me?

Directly, through your own PayPal, Venmo, Cash App, Monzo, Revolut or Zelle, a Stripe or Square payment link, or a bank transfer. TutorTally prints your links and details on each invoice and never handles the money.

Does the pay link include the amount?

PayPal.me links do, in your currency, and Venmo links do for US dollars. The other services open your page and the parent types the amount, which is printed on the invoice.

What happens when a student cancels?

You mark the lesson as cancelled with notice, cancelled late or a no-show. TutorTally fills in whether it is charged and whether a make-up is owed from the policy you set, and you can change it on that lesson.

Can one family pay for two children?

Yes. Each child has their own lessons and tally, and the parent has one balance, one statement and one invoice covering both.

Which languages does it use?

The app is in 10 languages. Invoices, statements and receipts print in the app’s language, except Hindi and Arabic, which print in English.

Can I move to a new phone?

Yes. Make a backup file in Settings and restore it on the new phone. Backup works on every plan.

Start with your next lesson.

Add your students and their weekly slots, and the tally, balances and invoices build from there.
