PackDesk

Pets, owners, packs and payments

Eight days left, and everyone at the desk can see it.

PackDesk keeps a card on every dog, sells the pack the owner pays up front, and takes one credit off it the moment you drop the dog off. Times in, times out, and the money charged on a Stripe account in your own name.

30 days free, no card.
$29 a month after that.

PREPAID PACKS

A pack is a number that goes down, in front of everybody

Punch cards get lost, and a spreadsheet is never open when the owner is standing there. PackDesk puts the balance on the pet, on the roster and on the day-book row, so the answer is the same whoever is on the desk.

Sold like anything else

A pack is one of your plans: a name, a price, and how many credits it buys. Ten visits is what the field starts at, and you change it. The owner pays on a Stripe page from a link you send, and the credits land on the pet once the payment clears — not when you send the link.

One credit per drop-off

Pressing Drop off writes the check-in and takes the credit in the same operation, so the two can never disagree. The button stays disabled until that write comes back, which is what stops a double tap taking two days off a pack.

Zero does not lock the door

A pet with no credits is still checked in and still appears on the day book. The balance stays at zero and you settle it with the owner, because refusing to record a dog that is on your floor helps nobody.

And you can always correct it

Plus one and minus one sit on the pet's record for the pack sold in cash at the counter, or the morning somebody forgot to press the button. Nothing about the count is beyond your reach.

THE DAY BOOK

One row per dog, opened in the morning and closed at night

The day book is today by default, and any day in the past year is a tap away. The header counts how many are signed in, which is the number you want when somebody rings.

BEFORE

Bailey3 credits

Drop off

Waiting. The row shows the credits left rather than a time, so the desk knows whether to mention a top-up before the owner walks out.

IN

BaileyIn 08:12

Pick up

Dropped off at 08:12, and a credit has come off. PackDesk also stores which staff account pressed it, so the record is not anonymous.

OUT

BaileyIn 08:12 · Out 17:40

Closed

Collected at 17:40 by whoever was on shift. The row is finished for the day and the pair of times is what the CSV export carries out.

Ninety days of the day book export as CSV from the same screen, with a column for the time in, the time out, and the staff account behind each. Handy for a boarding invoice argument, and for the week you need to prove a dog went home when you say it did.

THE PET CARD

Everything you would otherwise ask twice

Every pet is filed under the owner who pays — that pairing is required, not optional — and carries seven fields chosen for a kennel rather than a generic contact list.

Species
Dog, cat or other — a choice, so it can be read at a glance.
Breed
Free text, because breed descriptions never fit a list.
Temperament notes
The long field. Who cannot go in with whom, and why.
Feeding instructions
Amounts, times, the food the owner sends in.
Vet name
The practice you would ring, not the owner's mobile.
Vet phone
On the same card, so nobody is hunting for it.
Vaccinations note
What the owner has shown you, in your own words.

The owner's name, email and phone sit above them, plus a free-text note. The whole roster exports to CSV. Photographs, vaccination certificates and booking calendars are not part of this version.

Two ways the money arrives

Most daycares run both at once: a pack for the occasional dog and a monthly plan for the four-days-a-week regulars. PackDesk does not make you choose.

PAID UP FRONT

A pack of credits

One payment, a fixed number of visits, and a balance that falls each time the dog arrives. Good for the dog that comes when the owner's shifts land badly.

  • One-off Stripe checkout, no card kept on file
  • Credits granted when the payment clears
  • Counts down automatically on drop-off
  • Adjustable by hand from the pet record

A $250.00 pack carries a $2.80 platform fee.

PAID EVERY MONTH

A recurring plan

The owner completes one payment and it becomes a Stripe subscription that renews on its own until one of you cancels. Weekly and yearly work the same way.

  • Monthly, weekly or yearly, plus one-off charges
  • Renews without anyone doing anything
  • Live list of what renews and when
  • A failure shows under Needs attention, unchased

An $89 monthly plan carries a $1.19 platform fee each time it renews.

The platform fee is 1% plus 30 cents on every payment, whichever route it came in by. By default it is added to the owner's total as its own service fee line; turn pass-through off in Settings and it comes out of your share instead. Stripe's own card processing fee is separate and sits under your agreement with Stripe. Charges are made on your Stripe account, and Stripe pays out to your bank on that account's own schedule — ClearStack never holds, escrows or forwards your money.

BEFORE YOU SWITCH

Three things worth knowing now

  1. It is a desk book, not a booking system

There is no calendar of future reservations, no capacity limit, no run or room allocation, and no deposit taken against a date. PackDesk records the day as it happens. If your business turns on booking weeks ahead, this is the wrong tool and it is better to hear that here.

  2. It needs a connection

Pets, credits and the day book live in the cloud so the person on the desk and the person in the yard see the same numbers. That is the trade: shared, current data instead of an offline copy. On a poor signal, check dogs in when you have one.

  3. Chasing is still your job

PackDesk sends no reminder emails, retries no cards and messages no owners. A failed monthly payment appears under Needs attention on the dashboard and stays there. Owners never log in either — the only thing they see is a Stripe payment page.

Questions

How does a prepaid pack actually work?

You make a plan with a price and a number of credits. The owner pays for it on a Stripe page, the credits land on the pet once the payment clears, and each drop-off takes one.

What happens when a pet runs out of credits?

Nothing blocks. The drop-off is still recorded and the balance stays at zero, because a dog on your floor is a fact whether or not the pack is paid up. You chase it after.

Whose Stripe account is the money charged on?

The business's. PackDesk creates a Stripe account in your name and every charge is made on it, so the money is yours from the moment the card clears. ClearStack never holds a balance.

What does it cost?

$29 a month after a 30-day trial with no card, plus 1% and 30 cents on each payment collected. A $250 ten-visit pack carries $2.80.

Does the day book record who checked a dog in?

Yes. Drop-off and pick-up each save the time and the staff account that pressed the button, and both come out in the 90-day CSV export alongside the times.

Can I correct a credit by hand?

Yes. The pet record has plus one and minus one buttons for the day someone forgot to check a dog in, or a pack was sold at the desk in cash.

Can I put pets into rooms or runs?

Not in this version. The roster is one searchable list of pets, and the day book covers everyone booked that day rather than a room at a time.

Where does it work?

The United States, Canada, the United Kingdom, Australia, New Zealand and Ireland — the countries Stripe supports for this kind of account.

Try it on tomorrow's dogs

Add the regulars, connect Stripe, and sell one pack. Thirty days, no card, and your Stripe account stays yours either way.
