A session is a chronology

Start the session and the clock and the GPS stamp go down together. Every observation you add after that lands in order, with the time you saw it, and the whole thing closes with an on-station duration and an outcome you pick from the list: subject located, no activity, lost, terminated, completed.

That order is the point. Notes written into a phone at the moment sit in a sequence nobody has to reconstruct afterwards, and the sequence is what the case file prints.

Two clocks on every observation

Nobody writes at the exact second something happens. ProofPI keeps both times rather than pretending there is only one, which is the difference between a note you can stand behind and a note somebody can pick apart.

When it happened. Back-date it to 10:26 if that is when the garage opened and you typed it at 10:27. This is the time that reads as the event.

The wall-clock moment the entry was actually created. The app writes it once and never overwrites it, not even when you edit the note afterwards.

Both print in the case file, as 10:26 (rec. 10:27). If anyone asks how long after the event the note was made, the file already answers.

A GPS stamp that is yours

Latitude, longitude and accuracy at start and at stop — the position of your own phone, documenting where you were while making your own record. It is never anybody else's position, and the app never requests background location.

What you observed

Free text for the area, the subject as observed and the vehicle as observed, in your own words rather than a set of forced fields.

Outcome

Subject located, no activity, lost, terminated or completed. Sessions that produced nothing are worth recording as exactly that.

Photo references

Images attached to the case, each keeping its capture time and an optional caption, and each reappearing in the case file's appendix under that line.

Client or account reference, matter number, case type, subjects, the attorney contact, dates opened and completed, status, the billed fee, and the scope you were instructed on.

Confidentiality is the feature

A case file holds other people's information, and the safest place for it is a device you control. ProofPI has no account to breach, no server to subpoena and no sync to leak. There is no cloud copy, and that is a design decision, not a missing feature.

It also means the responsibility is yours. Keep the phone locked, and remember that deleting the app removes the records with it — ProofPI has no backup file and no cloud restore.

  • No account, ever. No sign-up, no email, no password, nothing tied to an identity.
  • No network round trip for your data. Cases, sessions, observations, photos and mileage are stored on the device. Nothing is uploaded.
  • Privacy screen. A switch that hides the app's contents in the Android app switcher, for the moment you hand the phone to somebody.
  • Location only when you ask. The GPS stamp is taken in the foreground, at the moment you tap, and never in the background.
  • Ten languages. English, Spanish, French, German, Portuguese, Hindi, Arabic, Japanese, Korean and Chinese.

What ProofPI does not claim

It is a logbook. It does not make a record admissible, it is not legal or investigative advice, and it cannot tell you what your state or your licensing board requires you to keep or for how long. Whether an investigation is lawful, and whether your records are sufficient, is on you.

Questions

Whose location does the GPS stamp record?

Yours. A session stamp is the position of the phone in your hand at the moment you start or stop, recorded to document where you were while making your own record. The app never tracks anybody else and never asks for background location.

Why are there two times on every observation?

One is when you saw it, which you can back-date if you write up ten minutes later. The other is the wall-clock moment the entry was actually created, which the app sets once and never changes. Both print in the case file.

Does ProofPI make my notes court-ready?

No. It is a record-keeping tool, not legal advice, and it cannot guarantee that anything you produce satisfies a court or your licensing board. What it does is keep your own record consistent, timed and complete enough to be worth reviewing.

Does anything leave the phone?

No. There is no account, no sign-up, no server and no sync. Cases, sessions, observations, photos and mileage sit on the device, and a case file only leaves when you share it yourself.
