1. Introduction

ClearStack Apps ("we", "us", "our") operates the MinderDay mobile application. MinderDay is a daily record for a registered childminder, used by that adult professional. It is not an app for children to use, and parents do not install anything.

2. What MinderDay Stores, and Where

Everything a childminder writes in MinderDay is stored on their own phone. MinderDay has no account and no server, and we have no copy of these records and no way to read them. That covers:

  • Children: name, date of birth, allergies, dietary needs and medical conditions as a parent stated them, GP details, usual days and hours, funded hours as typed, permissions, and a photo if one is added.
  • Parents and contacts: names, phone numbers, email and postal addresses, hourly rates, emergency contacts, and who may collect a child with a password word.
  • The day: arrival and departure times, who collected, absences, meals, sleep, nappies, activities, mood, notes and photos.
  • Forms: accident and incident records, medicine consents and doses, with drawn signatures.
  • Money: invoices and payments logged. MinderDay takes no payments between a childminder and a parent.

The childminder decides what is recorded and is the data controller for it. Childminders have their own duties under UK data protection law, and to their regulator, for the records they keep.

3. Crash Reports and Analytics

  • Firebase Crashlytics (Google LLC): crash reports, device model, operating system and app version, so we can find and fix bugs.
  • Firebase Analytics (Google LLC): basic usage events such as app opens and screen views, tied to a random ID for the app on the phone. The advertising ID is not collected.

These never include children's names, records, photos, signatures or contact details. MinderDay shows no third-party ads and carries no advertising SDK. The standard plan shows a banner for ClearStack's own website service; tapping it opens a web page, and nothing from the records goes with it.

4. What Leaves the Phone, and Only When the Childminder Chooses

  • Diary cards and PDFs: when a childminder shares a diary card, form, register or invoice, it goes through the phone's share sheet to the app they pick. What happens to it next is between them, the person they send it to and that app.
  • Backups: a backup is one file, encrypted on the phone with a passphrase the childminder chooses, saved wherever they choose. We never see the passphrase and cannot recover it.

Android's own cloud backup and device transfer are turned off for MinderDay's records.

5. Protections on the Phone

An optional app lock uses the phone's own fingerprint, face or PIN. Screenshots are blocked inside the app. Reminders never name a child. Records live in storage private to the app on the phone. They are as safe as the phone is, so please keep a screen lock on it.

6. Purchases

Purchases go through Google Play. We receive no card details. The app checks with Google Play on the phone whether a purchase is active.

7. How Long Records Are Kept, and Deleting Them

Records stay on the phone until the childminder deletes them. Settings, Delete all data removes every record and photo from the phone, and uninstalling the app does the same. A childminder may be required to keep certain records for a set period, so please check before deleting. Backup files they saved elsewhere are theirs to delete. Crash and analytics data is kept by Google under its retention settings and is not linked to any record.

8. Children

MinderDay is not directed at children and is used by adults. Parents who want to see, correct or remove what is held about their child should speak to their childminder, who holds it. We cannot access it.
