OfficeShot Privacy Policy

1. Introduction

ClearStack Apps ("we", "us", "our") operates the OfficeShot mobile application. OfficeShot makes professional headshots from your own selfies. This policy explains what the app keeps on your phone, what it sends to our server, how long we keep it, and how to delete it.

2. Your Selfies

A batch starts from six to twelve selfies, and at least one of them is taken live in the app. Each selfie is checked on your phone first, for a face and for blur, before anything is uploaded.

  • The upload: when you start a batch, your selfies are uploaded over an encrypted connection to our storage on Google Cloud. They are used only to make that batch.
  • Deleted when the batch ends: our server deletes the selfies as soon as the batch is finished, whether it worked or not. If a batch never starts after the upload, a daily check deletes those selfies within a day.
  • No training: nothing you upload is used to train an AI model, by us or by the model provider.

3. Your Headshots

The headshots made for you are stored on our server for 30 days so your phone can download them, then a daily check deletes them. The copies on your phone stay until you delete them. Every headshot is labelled as AI-generated inside the image file.

4. The Image Model

Headshots are made by Google's Gemini image model on Google Cloud Vertex AI, called by our own server. Your selfies are sent to it only to make your headshots. Google Cloud does not use this data to train its models.

5. Your Account

There is no sign-up. On first launch the app creates an anonymous account with Firebase Authentication. There is no name, email or password. For each install our server keeps:

  • your pack balance and whether the one-time preview has been used
  • your batches: the looks you picked, their progress, and the headshots until they expire
  • the headshots you star, so the favourites follow the batch
  • a push token and your app language, so we can tell you when a batch is ready

6. Purchases

Packs are bought through Google Play. When you buy, the app sends the purchase token to our server so it can confirm the purchase with Google and add the pack to your balance. We keep a record of each purchase so it is counted once, and so a pack you have not used yet can be restored after a reinstall. We never see or store your card details.

7. Reports

If you report a headshot, it is deleted from our server and from the app at once. We keep the report, which is the headshot's name and the reason you picked, for review.

8. Crash Reports and Analytics

  • Firebase Crashlytics (Google LLC): crash reports, stack traces, device model, operating system and app version, so we can find and fix bugs.
  • Firebase Analytics (Google LLC): basic usage events such as app opens and screen views. OfficeShot shows no ads and does not collect the advertising ID.

9. Who Else Handles Your Data

  • Google LLC: Firebase Authentication, Cloud Firestore, Cloud Storage, Cloud Functions, Firebase Cloud Messaging, Vertex AI, Crashlytics, Analytics and Google Play Billing. Firebase privacy information.

We do not sell your data, rent it, or use it for advertising.

10. Deleting Your Data

  • Delete in the app: open Settings, then Delete all my data. This removes every batch, headshot and selfie from our server and from the phone, and deletes the account. While a batch is still being made, deleting is refused; try again once it has finished.
  • Delete by email: write to support@clearstackapps.com and ask for your data to be deleted. We delete it within 30 days and reply to confirm.

A pack you have not used stays with your Google Play account and can be restored after you delete your data. Crash and analytics data follow Google's retention periods.

11. Permissions

  • Camera: for the selfie taken live in the app.
  • Photos: you pick selfies with the system photo picker, so the app sees only the photos you choose.
  • Notifications: to tell you when a batch is ready. You can turn them off at any time.
  • Internet: uploads, headshots, purchases and crash reports.

12. Whose Face

OfficeShot is for headshots of yourself. One selfie in every batch is taken live in the app, and you confirm the photos are of you before a batch starts.

13. Children

OfficeShot is made for adults and is not directed at children under 18.

14. Your Rights

Under UK GDPR, EU GDPR and similar laws you can ask to access, correct or delete your data, and object to how it is used. Email us at the address below. You can also complain to the UK ICO or your local data protection authority.

15. Changes to This Policy

We may update this policy. The date at the top shows the latest version.
