PlanRing Privacy Policy

Last updated: October 20, 2026

1. Introduction

ClearStack Apps ("we", "us", "our") operates the PlanRing mobile application and the pages it serves at planring.clearstackapps.com. PlanRing is a record kept by an HVAC or plumbing shop of its maintenance plans: the members, their plans and equipment, the tune-up visits, the payments and the renewal dates. This policy explains what is stored, where, who can see it, how long it is kept and how to delete it. It covers PlanRing only; the rest of ClearStack Apps is covered by our main privacy policy.

2. What PlanRing Stores

  • The shop's account: an anonymous account is created when the app first opens. If the shop adds an email address and password, they are held by Google Firebase Authentication and never seen by us. The name a seat gives is stored with the shop.
  • The shop's records: the shop's name, phone, email and address; its plans; its members (name, service address, phone, email and whether they agreed to email reminders); each member's equipment; the visits, with the checklist, readings, photos, notes, recommendations and the customer's signature; payments logged by hand; and requests sent from a member's Club Card page.
  • Online dues (Pro, optional): if the shop connects its own Stripe account, Stripe holds the member's card details and we store only what Stripe reports back: the Stripe customer and subscription ids, the amount paid, the currency and the date. We never see or store card numbers.
  • The signup page and Club Cards (Pro, optional): when the shop publishes its signup page, a snapshot of its name, contact details, plans and terms is served publicly at the address the shop chose. A Club Card link shows one member their own plan, visits and next due window; the link carries a random token and nothing personal.
  • Purchase check: if the shop buys a plan from Google Play, the purchase token, used only to confirm the purchase with Google and to renew or end the plan.

3. Crash Reports and Analytics

  • Firebase Crashlytics (Google LLC): crash reports, device model, operating system and app version, so we can find and fix bugs.
  • Firebase Analytics (Google LLC): basic usage events such as app opens and screen views, tied to a random ID for the app on your phone. The advertising ID is not collected.

These never include members, visits, payments or photos. PlanRing shows no third-party ads. The free tier shows a banner for ClearStack's own website service; nothing from the shop's records is used to choose it. Nothing in a shop's records is sold or shared with advertisers.

4. Where It Is Stored

On Google Cloud (Firebase) in the United States, encrypted in transit and at rest. Photos and signatures are stored the same way and can be opened only by signed-in seats of the shop. The app keeps a local copy on the phone so the board works offline.

5. Who Can See It

  • Every seat of the shop (the owner and up to two techs on Pro) sees the shop's records.
  • A member sees only their own Club Card page, through the link the shop sends them, and only while the shop keeps that link live.
  • Anyone with the signup page address sees what the shop chose to publish there: its name, contact details, plans and terms.
  • Stripe sees the payment details of a member who pays online, under Stripe's privacy policy.
  • We do not read shops' records. Google acts as our processor to store them.

6. Emails to Members

On Pro, a member who agreed to it in the shop's records receives an email when a tune-up window opens and when their plan is about to renew. The shop switches this off per member. The emails are sent through Resend, Inc. with the shop's email address as the reply-to.

7. Deleting the Shop

In the app: Settings, then Delete account, and confirm. Or email support@clearstackapps.com from the address on the account. When the owner deletes the account, the whole shop goes with it: every member, visit, photo, payment and request, the published page and its address, and the Club Card links. A tech who deletes their account leaves the shop; the visits they logged stay in the shop's records under their name.

A member who wants their details removed from a shop's records asks the shop, which can delete them in the app. Crash reports are kept by Firebase for 90 days and then deleted.

8. Your Copy of the Data

On the Money tab, Export CSV gives the renewal list and the payment log. Every agreement and visit report can be shared as a PDF. Email us for anything else.
