SwimLevel Privacy Policy

1. Introduction
ClearStack Apps ("we", "us", "our") operates the SwimLevel mobile application and the parent progress pages it serves at swimlevel.web.app. SwimLevel is used by adults who run swim lessons: swim schools and private instructors. Parents reach a page through a link the school gives them and do not install anything. The school decides what to record about the children it teaches, and we hold those records for the school.
2. What SwimLevel Stores
- The school's account: an anonymous account is created when the app first opens. If the owner or an instructor adds an email and password, we store that email address to sign them in.
- The school's profile: its name, the name a seat holder gives, an optional phone number and contact email, the logo if one is added, and its country.
- Levels and classes: the school's own levels and skills, and each class's name, day, time and instructor.
- Each swimmer: a first name, one initial, an optional birth year, a class, a current level, ticks on each skill with the day they changed, the levels passed with their dates, and any instructor notes. SwimLevel does not ask for a surname, a photo, an address or medical details, and tells schools not to type them into notes.
- A parent's email, if the school adds one: the address, whether the school has recorded the parent's agreement to emails, the language for the page, and whether the parent has stopped emails.
- Purchase check: if the school buys a plan from Google Play, the purchase token, used only to confirm the plan with Google.
- A short activity log: events such as a seat joining or a link being made, kept with the school's record.
3. Children's Information
SwimLevel is for adults. It is not directed at children, and children do not use the app or create accounts. It does hold a small amount of information about children because their swim school records it. The school is responsible for having the right to record it and for telling parents, including any consent its own country's law requires. We use these records only to provide the app to that school. We do not advertise to children, profile them, or use their records for any other purpose.
4. Parent Pages
A parent page is opened by a link containing a long random code. It does not ask for a sign-in, so anyone who has the link can read it. For that reason it shows as little as it can: the school's name and logo, the swimmer's first name and initial, the current level and each skill's state, the levels passed with their dates, and certificates. It never shows the birth year, the class or its time, the parent's email, or instructor notes. The address names nobody, search engines are told not to index the page, and it is not cached. The school can turn a link off at any time and the page stops at once. Parents should treat the link like a private message and ask the school to turn it off if it has been shared by mistake.
5. Emails to Parents
On the Pro plan a school can email a parent a link to a certificate, only if it has added the address and recorded that the parent agreed. Emails are sent through Resend and carry a link to stop them, which is honoured for that swimmer. The school can see that a parent stopped emails. We use the address for nothing else.
6. Crash Reports and Analytics
- Firebase Crashlytics (Google LLC): crash reports, device model, operating system and app version, so we can fix faults.
- Firebase Analytics (Google LLC): basic usage events such as app opens and screen views from the adults using the app, tied to an app-instance identifier.
These never include swimmers' names or records. Parent pages carry no analytics. SwimLevel shows no third-party ads. The free tier shows our own offer for websites for the business using the app, chosen from a file on our website; opening it takes you to clearstackapps.com.
7. Where It Is Stored
On Google Cloud (Firebase) in the United States, encrypted in transit and at rest. The app keeps a copy on the phone so a ladder works at a pool with no signal. That copy can remain on a phone after an instructor leaves a school or signs out, until the app is removed or its data is cleared.
8. Who Can See It
- Every working seat of the school (the owner and, on Pro, up to four instructors) sees all of the school's levels, classes and swimmers, including instructor notes.
- Anyone with a parent link sees what section 4 lists, for that one swimmer.
- We do not read schools' records except when a school asks for support or to keep the service running. Google and Resend act as our processors.
- We do not sell any of this information.
9. How Long It Is Kept, and Deleting It
- Records stay until the school deletes them. Deleting a swimmer removes their record and turns off their parent link.
- Settings, Delete account removes the account. For an owner this deletes the whole school: its levels, classes, swimmers, logo, parent links and activity log. An instructor's account is removed and the school's records stay with the owner.
- You can also ask for deletion by emailing support@clearstackapps.com. A parent who wants a child's record changed or removed should ask the swim school first, because the school controls it; if that does not work, write to us and name the school.
- Purchase records may be kept as long as the law requires for accounting.
10. Your Rights
Depending on where you live you may have rights to see, correct, move or delete your information, or to object to how it is used. Email support@clearstackapps.com. If you are in the UK or EU you may also complain to your data protection authority.
11. Changes
We will post changes on this page and update the date at the top.
