LabCase Privacy Policy

1. Introduction
ClearStack Apps ("we", "us", "our") operates the LabCase mobile application and the dentist status pages it serves at clearstack-cloud-1-labcase.web.app. LabCase tracks a dental laboratory's cases: the practices it works for, each case's stage and due date, remakes and invoices. This policy explains what is stored, where, who can see it, how long it is kept and how to delete it. It covers LabCase only; the rest of ClearStack Apps is covered by our main privacy policy.
2. What LabCase Stores
- The lab's account: an anonymous account is created when the app first opens. There is no email or password.
- The lab's records: the lab name, currency and tooth numbering setting; practices (name, doctors, and any contact name, phone, email and notes the lab enters); cases (the patient's initials, three letters at most, the practice's case number, the doctor, the work, teeth, shade, material, due date, stage and the lab's notes); remakes; fee schedules; and invoices.
- No patient names or records: LabCase refuses more than three letters in the initials field. It does not hold patient names, dates of birth, charts or x-rays, and it is not a clinical record.
- Case photos: kept on the phone. On LabCase Team, a compressed copy is also stored in the cloud so other seats, and the practice's status page if you mark a photo as shareable, can see it.
- Dentist status links: a random link the lab can share with one practice. It shows that practice's open cases, cases shipped in the last 30 days and photos marked shareable, and nothing about other practices or the lab's internal notes. The lab can revoke it at any time.
- Purchase check: if the lab buys a plan from Google Play, the purchase token, used only to confirm the purchase with Google and to renew or end the plan.
3. Crash Reports and Analytics
- Firebase Crashlytics (Google LLC): crash reports, device model, operating system and app version, so we can find and fix bugs.
- Firebase Analytics (Google LLC): basic usage events such as app opens and screen views, tied to a random ID for the app on your phone. The advertising ID is not collected.
These never include case details, practice details or photos. LabCase shows no third-party ads. The free tier shows a banner for ClearStack's own website service; nothing from the lab's records is used to choose it. Nothing is sold or shared with advertisers.
4. Practices Who Open a Status Link
Practices do not create an account and nothing is installed. The page asks no questions, sets no cookies and is marked so search engines do not index it.
5. Where It Is Stored
On Google Cloud (Firebase) in the United States, encrypted in transit and at rest. The app keeps a local copy on the phone so the board works on a weak signal.
6. Who Can See It
- The lab owner, and on LabCase Team up to four more people the owner invites, see the lab's records.
- A practice holding a status link sees only its own cases as described above.
- We do not read labs' records. Google acts as our processor to store them.
7. Deleting Data
In the app: Settings, then Delete Account & Cloud Data, and confirm. Or email support@clearstackapps.com. When the owner deletes the account, every practice, case, remake, invoice, status link and cloud photo of the lab is deleted, and every status link stops working. Crash reports are kept by Firebase for 90 days and then deleted.
8. Your Copy of the Data
Cases export as a CSV file from the Cases screen. Invoices and practice statements save as PDF.
