SextonMap Privacy Policy
Last updated: October 26, 2026
1. Introduction
ClearStack Apps ("we", "us", "our") operates the SextonMap mobile application and the public burial search pages it serves at sextonmap.clearstackapps.com. SextonMap keeps the records of a cemetery: sections drawn as a grid of plots, burials, headstone photos and plot owners. This policy explains what is stored, where, who can see it, how long it is kept and how to delete it. It covers SextonMap only; the rest of ClearStack Apps is covered by our main privacy policy.
2. What SextonMap Stores
- The account: an anonymous account is created when the app first opens. If the owner or a volunteer adds an email address and password, they are held by Google Firebase Authentication and never seen by us.
- The cemetery's records: the cemetery's name and town, the sections and their layout, and for each plot its status, capacity, notes and owner details (name, contact, deed number, purchase date, price paid) as the cemetery enters them; for each burial the name, dates, burial type, funeral home, officiant, inscription, notes and an optional headstone photo.
- Who changed what: each record keeps the email or name of the person who last changed it and when, so volunteers can see the history.
- Purchase check: if the owner buys a plan from Google Play, the purchase token, used only to confirm the purchase with Google and to renew or end the plan.
The people recorded are the cemetery's own records, entered by the cemetery. SextonMap takes no payments for plots, sends no messages to families and does not build a marketing list.
3. The Public Burial Search Page
On Pro, the cemetery can publish a search page. Publishing copies only the name, birth, death and burial dates, and the section, row and plot of each burial, with a map of the section, plus the headstone photo for burials where the cemetery switched the photo on. Owner names, contacts, deed numbers, prices and notes are never published. The page changes only when the cemetery publishes again, and taking the page down deletes the published copy. The search page sets no cookies.
4. Crash Reports and Analytics
- Firebase Crashlytics (Google LLC): crash reports, device model, operating system and app version, so we can find and fix bugs.
- Firebase Analytics (Google LLC): basic usage events such as app opens and screen views, tied to a random ID for the app on the phone. The advertising ID is not collected.
These never include burial or owner records. SextonMap shows no third-party ads. The free tier shows a banner for ClearStack's own website service; nothing from the records is used to choose it. Nothing is sold or shared with advertisers.
5. Where It Is Stored
On Google Cloud (Firebase) in the United States, encrypted in transit and at rest. The app keeps a local copy on the phone so the records keep working with no signal in the cemetery grounds.
6. Who Can See It
- The owner, and on Pro up to two volunteers the owner invites, see all of the cemetery's records.
- Anyone can see what the cemetery published on its public search page, and only that.
- We do not read cemeteries' records. Google acts as our processor to store them.
7. How Long It Is Kept
Records are kept until the cemetery deletes them or deletes its account. Crash reports are kept by Firebase for 90 days and then deleted.
8. Deleting Data
In the app: Settings, then Account and recovery, then Delete account, and confirm. Or email support@clearstackapps.com from the address on the account. When the owner deletes the account, every section, plot, burial, photo and the public search page are deleted. A volunteer who deletes their account leaves the cemetery. More detail is on the account deletion page.
A family member who wants a published entry corrected or removed can ask the cemetery, or email us with the cemetery's name and the entry.
9. Your Copy of the Data
In Settings or Reports, Export all records (JSON) saves a copy of every section, plot and burial on every plan. Solo and Pro also export a CSV.
